Copilot Inside Microsoft 365
Copilot in Word, Outlook, and Teams answers primarily from a user’s own organizational content in Microsoft Graph, with public web grounding as a secondary, optional layer.
What actually happens
Microsoft 365 Copilot is built into Word, Outlook, Teams, Excel, and PowerPoint, and it draws on content the signed-in user already has access to — emails, chat threads, documents, and meetings — via Microsoft Graph, combined with the underlying language model. In Word it drafts and edits documents, in Outlook it summarizes threads and drafts replies, and in Teams it recaps meetings and highlights action items through features like the Facilitator agent. Access to any of this content is governed by the same Microsoft 365 permissions, sensitivity labels, and compliance policies the organization already has in place, so Copilot only surfaces what the user could already see.
Why this is different from public brand visibility
This surface is not a public discovery channel: Copilot in Microsoft 365 is answering from a specific tenant's private data, not from the open web, so it isn't a place brands can optimize for mentions the way they would for Bing- or web-grounded Copilot answers. When Microsoft 365 Copilot does reach outside the tenant, it can incorporate public web results through the same Bing-backed retrieval used elsewhere in Copilot, which is the point where general web visibility and indexing still apply.
Why it matters for brand visibility
For most brands, the practical relevance of this surface is indirect: your own content (documentation, product pages, help articles) may get pulled into a customer's or prospect's private Copilot session if they've saved or shared it, and if Copilot in Microsoft 365 does pull in public web context, that retrieval still depends on the same Bing indexing fundamentals as the rest of Copilot.
Frequently asked questions
Can I get my brand mentioned inside someone else’s Microsoft 365 Copilot session?
Not through SEO-style optimization. Copilot in Word, Outlook, and Teams answers from that user's own organizational content and permissions, so there's no public ranking mechanism to influence for these in-app responses.
Does Microsoft 365 Copilot ever use public web data?
Yes, in some contexts it can incorporate public web results alongside a user's organizational content, and when it does, that retrieval runs through the same Bing-backed infrastructure used by web-facing Copilot.
Is content inside Microsoft 365 Copilot searchable by the public?
No. Responses are scoped to what the signed-in user already has permission to access under their organization's Microsoft 365 security and compliance settings.
